In SimplyMerit, approvals (either individual or bulk) can sometimes be applied prematurely or in error. The Reversing an Approval process allows administrators to undo approvals so that managers can make corrections before final distribution or downstream actions occur.
Reversing an approval should be done before letters are generated or data is shared externally.
Where Approved Status Is Visible
Approvals appear in multiple locations, including:
Manager Activity: shows Merit, Bonus, and Equity approval status per manager
Employee Rows on My Org / My Team (if approval stamping is enabled)
Final Approval Exports (if Final Approval workflow is enabled)
When to Reverse an Approval
You may need to reverse approvals when:
A manager approved the wrong values
A bulk approval was applied prematurely
Changes are required before letters are published
You need to re-open a population for edits
Reversing an Approval: Step-by-Step
1. On the My Org screen, navigate to the manager for whom you wish to reverse an approval and click on their the blue + / - icon to open that manager's My Team screen
2. Click the Modify button
3. Click the Resubmit button
4. The approval is now reversed. If you need to Reject from here, click the Reject button and provide an explanation in the pop-up window followed by clicking Underlined Name next to Reject on the pop-up window. This will send an email to the manager letting them know that their submission has been rejected and that they can make changes and resubmit.
Considerations and Best Practices
Reversing an approval does not delete historical values; it simply reopens them for change.
Communicate with managers before reversing approvals to avoid confusion.
If letters have already been generated, review whether they need to be regenerated after edits.
Summary
Reversing an approval in SimplyMerit gives administrators the flexibility to correct errors or re-open manager entries before final distribution. The process is simple, immediate, and essential for maintaining accurate compensation decisions.
