This article explains how delegates interact with SimplyMerit, how they use the system to act on behalf of managers, and how they access and complete tasks in their assigned roles.
Delegates help managers who may not directly use SimplyMerit or who need assistance completing compensation tasks. A delegate can be assigned to multiple managers, and a manager can have multiple delegates assigned to them.
What a Delegate Is
A delegate is a user who has been assigned to support a manager in SimplyMerit.
Delegates can view and enter compensation data on behalf of the manager who assigned them.
Delegates cannot approve adjustments unless they are also granted approval authority.
Delegates should have an active invitation and login.
Typically, an HR Business Partner or a similar role.
How Delegates Are Invited
Delegates must be invited before they can log in.
First, they need to be assigned via an import or Employee Information.
Configuration → Data Import → Delegates CSV Import
Admins can assign delegates via CSV or directly in the UI through the Delegates importer. After assigning delegates, use Send Delegate Invites under Configuration → System Control to send invitations.
Delegate Login
Delegates log in using the same interface as managers:
They use their email and password unless SSO is enabled, in which case they authenticate through your identity provider.
Delegate Home / Navigation
Once logged in, delegates see a navigation experience similar to managers, including:
My Org
Shows the manager’s team for whom the delegate is acting.My Team
Delegates can download letters or exports if configured.My Account
Delegates can view/download reports accessible to managers.
A delegate will have a dropdown on the top right of the screen, next to the Sign Out link. Clicking the dropdown will list all the managers for whom they are set as delegates. If they select one of the names, they will gain delegate access for that manager in SimplyMerit and view the manager's perspective.
Performing Manager Tasks as a Delegate
Delegates can typically perform the same actions as the manager for the team they are assigned to, including:
Recommend merit increases
Enter bonus and equity adjustments
View employee details
Download letters or exports (based on configuration)
Actions are performed under the manager’s context; that is, when the delegate submits changes, they are submitted as if the manager entered them.
Limits of Delegate Access
Delegates do not:
Gain access to other managers’ data unless explicitly assigned
See or manage tasks outside the scope of the manager’s team
See performance review data if it’s not exposed to managers
Approve submissions unless they have explicit approval authority configured
Managing Delegate Assignments
Delegate assignments can be managed via:
Configuration → Data Import → Delegates CSV Import
or
Configuration → Employee Information
Delegate Alerts and Reminders
Delegates can receive all system alerts and reminders that a manager would receive, subject to:
They have Enable Invitation = Yes
They are appropriately assigned to the manager’s team
Delegates will receive email notifications tied to reminders and approval prompts just like managers, depending on system configuration.
Delegate Logout / Lock-Out
Admins can lock a delegate out of the system via:
Configuration → Manager Activity
or
Configuration → Admin Control → Lock Out of App
Locking a delegate prevents login while keeping the assignment intact.
Delegate Best Practices
Assign no more delegates than necessary to simplify review and auditing.
Use CSV import for large or recurring delegate assignments.
Train delegates on compensation guidelines before granting access.
Monitor delegate activity via reporting and Manager Activity screens.
Summary
Delegates extend managerial capacity by acting on behalf of managers within SimplyMerit. They log in, complete tasks, and enter data much like managers, but only for the teams to which they are assigned and within permissions granted.
