A delegate allows a user to login on behalf of a manager and act as if they were that manager. A typical use case for this would be an HR Business Partner logging in as a particular manager they have under their purview, so that they can either input recommendations on behalf of that manager or just review them.
To assign someone as a delegate, you can either upload a CSV or edit within Configuration > Employee Information.
Employee Information
- Navigate to Config > Employee Information.
- Search for the manager that you want to assign a delegate to, and click Edit.
- There will be a section labeled Delegate EMP ID where you can enter the EMP ID of the person you want to assign as a delegate.
- Click Submit to save, and now that user will have delegate access for that manager. Multiple delegate EMP IDs can be entered, separated by a comma.
CSV Upload
- Navigate to Config > Data Import > Delegates CSV Import.
- Start by clicking on the “Download Template” button to download the template CSV file to your computer. This CSV file provides the exact format for importing delegate assignments.
- Once the template CSV file has all of your data, you can upload the file in the "Import Delegates Data File” section.
- Subsequent uploads may be used to apply changes to SimplyMerit. Best Practice: On subsequent uploads, only include the records for the employees who need to be modified. Ensure that employee ID and Delegate ID match exactly.
- Example CSV:
- EMP_ID (the ID of the manager you want to assign a delegate to)
- delegate_ID (the ID of the user you want to be assigned as a delegate to that manager)
- These can also have multiple IDs, separated by a comma.
