This guide explains how managers can download their team’s merit, bonus, and equity letters once a compensation cycle is complete.
When Team Letters Become Available
Once a cycle is complete in SimplyMerit, your organization’s administrator can generate merit, bonus, and/or equity letters, along with Total Reward Statements.
Administrators may also choose to send notification emails to managers when team letters are ready for download.
Email Notification for Team Letters
When letters are available, managers may receive an email notification from SimplyMerit that includes a Download Letters link.
This email notifies you that your team’s letters have been generated and are ready for access.
Downloading Letters from the Email Notification
If you are already logged in to SimplyMerit and select the Download Letters link in the email, your team’s letters will begin downloading automatically as a .zip file.
If you are not logged in when you select the link:
A browser window will open and prompt you to log in
After logging in, the download of the .zip file will begin
Downloading Letters Directly from SimplyMerit
You can also download your team’s letters without using the email link.
To do this:
Log in to https://app.simplymerit.com
Navigate to the My Team screen for merit, bonus, or equity
Select the Download Salary/Bonus/Equity Letters button
This will download a .zip file containing your team’s letters.

Understanding the Downloaded Letters File
After downloading the .zip file:
Each direct report will have their own individual .pdf letter
All available letters for your team will be included in the file
Your SimplyMerit administrator may configure the system so that certain employees do not receive a letter.
If you download your team’s letters and notice missing direct reports, it may be because an applicable letter was not generated for those employees.
What to Expect Next
Once letters are downloaded, managers can distribute them according to their organization’s internal communication process.
