The System Control screen is used for company-level actions that affect launch readiness, invitations, authentication, letters, data cleanup, and reset workflows.
Navigate to Configuration | System Control.
Some sections only appear when the related feature is enabled for your company.
Budget Planning Mode
Budget Planning Mode indicates to stakeholders that SimplyMerit is currently being used to plan budgets and/or accruals.
Use Activate Budget Planning Mode when the company is modeling budgets before opening the cycle for active planning. Save changes after turning the setting on or off.
Ready SimplyMerit to Go Live
This setting moves SimplyMerit from setup into the active planning phase.
Before planning invitations can be sent, Ready SimplyMerit to Go Live must be turned on and saved.
Toggle to CoreTeam
CoreTeam is a workforce management application built into SimplyMerit for scenarios such as layoffs, furloughs, pay reductions, and schedule reductions.
Use this setting only when the company should switch between SimplyMerit and CoreTeam functionality. Because this changes how the application behaves and appears to users, contact SimplyMerit Support if you are unsure whether it should be enabled.
Send Manager Emails to Delegates
This setting controls whether emails that normally go to managers are also sent to their assigned delegates.
Turn on Send Emails to Delegates when delegates should receive manager email communications in addition to the manager.
Send Admin Invitations
Use Send Admin Invitations to invite configured admin users into SimplyMerit.
This sends invitation emails to admin users who have not already signed in.
Invite to Planning
Use Invite to Planning to send planning invitations after Ready SimplyMerit to Go Live is enabled.
Invitations are sent to eligible planning users who have Planning Access and Core Access enabled on Configuration | User Control and who have not already accepted an invitation.
Before using this action, review User Control to make sure the correct users have Planning Access enabled.
Invite to Portal
When the Employee Portal feature is enabled, System Control may include an Invite to Portal section.
Use this action to invite users who have Portal Access and Core Access enabled on Configuration | User Control and who have not already accepted an invitation.
If the Employee Portal is disabled, the section directs admins to turn on Enable Employee Portal on the Configuration | Employee Portal screen before sending portal invitations.
Send Delegate Invitations
Use Send Delegate Invitations to invite assigned delegates into SimplyMerit.
Delegates should be assigned before this action is used.
Single Sign On
The Single Sign On section controls whether users authenticate through an SSO provider.
Available SSO provider options include Disable, SAML, and OKTA.
Enabling SSO requires users to log in through the selected SSO provider instead of using a SimplyMerit email and password. Contact SimplyMerit Support before changing this setting if you are unsure how SSO is configured for your company.
Manage Letters
The Manage Letters section controls enhanced letter functionality and letter file naming.
Enable Enhanced Letters
Turning on Enable Enhanced Letters enables advanced formatting capabilities and Total Rewards Statements.
File Prefix and File Suffix
Admins can use SimplyMerit data values to enhance generated letter file names. This can make letter files easier to group, sort, and manually distribute.
The available variables are listed on the Configuration | Letters screen.
Reset Notes
When enabled for your company, the Reset Notes section provides bulk options for deleting notes across employees.
System Notes
- Delete All System Notes removes system-generated notes.
- Delete all system notes except the current system note removes prior system notes while keeping the current system note.
HR Admin Notes
- Delete All HR Admin Notes removes HR admin notes.
- Delete all HR Admin notes except the current HR Admin note removes prior HR admin notes while keeping the current HR admin note.
Delete Users Without Employees
When enabled for your company, this section allows admins to permanently delete users who do not currently have an associated employee record.
The screen shows how many users have employee records and how many users without employee records will be deleted. If users without employee records exist, admins can download a CSV list before deleting them.
This action is final. Deleted users, access, historic letters, and related data cannot be recovered.
AI Features
When AI features are enabled for your company, this section allows admins to turn on AI usage options.
- Enable AI Usage allows HR admins to ask Aimee, the MorganHR AI, questions.
- Allow Extended Data Access allows Aimee to use additional company data when responding.
AI Features are in beta and should be used with care.
Reset Employee Data
Reset Employee Data erases employee and user data currently in the system, except for HR admins and the CEO.
Company-level configurations, such as performance rating scales and budget settings, are retained. SimplyMerit generates an export of the current data state before deleting the data.
This action cannot be undone and should be used with extreme caution.
Summary
System Control contains high-impact company-level settings and actions. Review access settings on Configuration | User Control before sending planning or portal invitations, and contact SimplyMerit Support before changing SSO, CoreTeam, reset, or deletion settings if you are unsure.
