The User Control page gives HR Administrators one place to manage who can sign in to SimplyMerit, who can access planning or the employee portal, which users receive emails, and whether planning should be view-only.
Use this page when you need to review or change user-level access, send or resend invitations, pause emails, lock users out temporarily, or apply access changes in bulk.
Accessing User Control
Navigate to:
Configuration → User Control
Company-wide settings
The top of the page contains account-wide controls. These settings affect groups of users at once and are separate from the per-user toggles in the table below.
- Pause ALL SimplyMerit Emails stops every SimplyMerit email for the account, including invitations and password resets.
- Pause All Emails Except Invitations/PW Resets stops routine SimplyMerit emails while still allowing invitation and password reset emails to send.
- Lock Out ALL Users blocks every non-admin user from signing in. Administrators keep access so they can manage the setting.
- Lock Out Planning Users hides planning access for managers and admins across the company. Other access, such as login or portal access, is not changed.
- Lock Out Portal Users hides the employee portal area for users in the company.
- Lock Planning for Changes puts planning in view-only mode for managers and delegates. Administrators can still edit.
After changing company-wide settings, click Save Changes.
User list
The Users table shows each user and the controls available for that user. Depending on your company configuration, you may see these columns:
- Name and Email identify the user.
- User Type shows the user's role, such as employee, manager, or admin.
- Is Delegate indicates whether the user is assigned as a delegate.
- Receive Emails controls whether the user receives routine SimplyMerit email notifications.
- Core Access controls whether the user has basic access to SimplyMerit.
- Planning Access controls whether a manager or admin has access to planning. Employees who are not managers or admins may show N/A.
- Portal Access controls whether the user has access to the employee portal.
- View Only places that user in view-only mode for planning.
- Invitation Sent shows whether an invitation has been sent.
- Invitation Status shows whether the invitation was accepted, or gives you the option to send or resend an invitation when available.
- Last Signed In shows the user's most recent sign-in activity.
Understanding company-wide locks and per-user toggles
Company-wide lock settings and per-user access toggles work together, but they do not replace each other.
For example, Lock Out Planning Users can temporarily prevent planning access for all planning users. You can still adjust an individual user's Planning Access toggle while the company-wide lock is on. When the lock is later released, the user's individual setting is already in place.
The same idea applies to portal access: Lock Out Portal Users can temporarily hide portal access for everyone without changing each user's individual Portal Access setting.
Sending and resending invitations
If invitation columns are available for your company, User Control shows whether an invitation has been sent and whether it has been accepted.
- If access is enabled and the user has not been invited, use Send Invitation.
- If an invitation was sent but not accepted, use Resend Invite.
Invitation wording is based on the user's access type. Planning invitations are sent to users with Planning Access; portal invitations are sent to users with Portal Access.
A user only needs one invitation to access SimplyMerit, and their permissions will determine if they have access to the Planning screens, the employee Portal, or both.
Bulk actions
Use Bulk Actions to apply common changes to many users at once. Each bulk action shows a confirmation message before it runs.
- Enable All Emails turns on Receive Emails for every user.
- Disable All Emails turns off Receive Emails for every user.
- Enable All Portal Access turns on Portal Access for every user.
- Disable All Portal Access turns off Portal Access for every user.
- Enable All Planning Access turns on Planning Access for managers and admins.
- Disable All Planning Access turns off Planning Access for managers and admins.
Bulk actions update the per-user toggles. They do not turn company-wide Pause or Lock Out settings on or off.
Editing employee information
Use the Edit button on a user's row when you need to update that employee's profile information. User Control is focused on access, emails, invitations, and user state; employee profile details are still edited from the employee information screen.
Reporting and exports
User access and email settings are available in SimplyMerit exports and reporting where applicable, so you can audit the current configuration outside of the User Control page.
