The Employee Portal gives employees a secure place to view compensation information and download published compensation letters. Administrators control when the portal is available, who can access it, which letters are visible, and whether employees can acknowledge receipt of letters.
Where to find Employee Portal settings
Navigate to Configuration → Employee Portal. The Employee Portal area includes settings for portal access, the portal welcome page, letter content, and activity tracking.
Employee Portal Access
The Employee Portal Access section controls the company-level portal behavior.
Enable Employee Portal turns the portal on for the company. When enabled, users with Portal Access can sign in and reach their personalized portal. When disabled, the portal is off and those users land on their account page instead.
Portal Page Visible controls what employees see once the portal is enabled. When this is on, employees see published letters and compensation details. When this is off, employees see a “being prepared” placeholder so you can keep the portal hidden while content is still being prepared.
Letter acknowledgement
The Letter Acknowledgement section is optional. When enabled, each compensation letter in the portal shows an acknowledgement button so employees can confirm receipt.
You can customize:
whether the acknowledgement button is shown,
the button label, and
the short intro text shown above the button.
Acknowledgement activity appears in the portal activity tracking table for admins.
Granting Portal Access to users
Portal access is controlled per user from Configuration → User Control. Turn on Portal Access for the users who should be able to sign in to the employee portal.
You can also use the bulk action controls on User Control to turn Portal Access on or off for all eligible users. The company-level employee portal setting and the per-user Portal Access toggle both matter: users need Portal Access, and the Employee Portal must be enabled for the company.
Inviting employees to the portal
Portal invitations are sent from Configuration → System Control in the Invite to Portal section.
If the Employee Portal is disabled, the Invite to Portal button is disabled and the page directs you to Configuration → Employee Portal to enable it.
If the company is not yet ready to go live, the Invite to Portal button is disabled until Ready SimplyMerit to Go Live is turned on.
When available, Invite to Portal sends portal invitation emails to users with Portal Access enabled who have not already accepted an invitation.
Preparing letters for the portal
Letters become visible to employees only after they are published to the portal. Generating or regenerating a letter batch creates draft letters for administrator review; it does not automatically replace what employees can see.
To prepare portal letters:
Go to Configuration → Standard Exports.
Open the appropriate letter tab, such as Salary, Bonus, Equity, or Total Rewards.
Generate the letter batch, such as All Salary Letters, if new draft letters are needed.
Review the draft/published counts in the Publish Letters to Portal section.
Select Publish to Portal when the draft letters are ready for employees.
Archive Current Version
Archive Current Version is on by default when publishing letters to the portal.
When it is on, the currently published version moves to the employee’s Letter History before the new draft becomes the visible portal letter.
When it is off, the current portal version is overwritten and no history is kept for the replaced version.
Use the default archive setting when you want employees and administrators to retain access to prior published portal letters.
What employees see in the portal
Employees see the letters that have been published for them. Letter tabs and sidebar links appear only when a published letter exists for that employee and letter type.
Depending on enabled features and published letters, employees may see:
Salary Letter,
Bonus Letter,
Equity Letter,
Total Rewards Statement, and
Letter History.
Letter labels follow the company’s cycle display names where applicable. For example, a salary cycle may appear as Salary Letter or another configured salary-cycle label followed by “Letter.”
Letter History
The Letter History page shows previously published portal letters that were archived when a newer version was published with Archive Current Version enabled. Employees can download historical PDFs when they are available.
If no archived letters exist for the employee, the Letter History page shows that no history is available.
Tracking portal activity
The Employee Portal activity table helps administrators monitor portal readiness and employee engagement. It shows Portal Access status and letter activity by employee. For each available letter type, the table can show whether a current letter exists and whether the employee has viewed, downloaded, or acknowledged it.
Recommended launch sequence
Configure Employee Portal settings.
Turn on Portal Access for the appropriate users in User Control.
Generate and review draft letters from Standard Exports.
Publish approved letters to the portal.
Turn on Portal Page Visible when the portal content is ready.
Use System Control → Invite to Portal to send invitations.
Monitor view, download, and acknowledgement activity from Employee Portal tracking.
